High-speed and Smart Real-time Inventory Synchronization: How the Bollekesfeesten Seamlessly Managed 200,000 Visitors

The Challenge: Extreme demand peaks and inventory management pressure

Antwerp's Bollekesfeest attracts over 200,000 visitors over several days to locations such as Steenplein, Grote Markt, and Groenplaats. With enormous consumption (including 1,000 barrels of beer) and 110,000 reusable cups, the logistical pressure is immense.

The biggest challenge at such a multi-day city festival is inventory management: preventing bars from running dry during extreme peaks, without having to move unnecessary stock. Traditional, manual inventory checks fall short when the city-wide rush begins.

The solution: Integrated sales, refunds, and live dashboard synchronization

Beyond Ordering deployed a network of 70 all-in-one terminals for streamlined operations, supported by intensive on-site management.

‍Visitors checked out in a fraction of a second using the payment terminals, ensuring a constant flow at the bars with zero downtime. 

QR-Refund

Standalone QR refund setups were positioned at dedicated cup collection points to gather the final cups. After counting, staff used these to instantly print a unique QR Refund voucher for a 100% cashless, app-free deposit return. 

Personalized live stock synchronization

A direct synchronization was built between the live sales data from the point-of-sale terminals, the QR Refund setups, and the central stock locations. This dashboard translated real-time sales data instantly into current inventory levels per bar and per square. This allowed for efficient collection and delivery of sales products and reusables. Larger replenishments during the multi-day event were also organized and optimized in a fully data-driven manner based on hard sales trends.

The automated synchronization between the sales data and the dashboard was crucial. We could see what was happening at each bar in real time, allowing us to make immediate adjustments to stock management and replenishment.
